Salesforce Report Scheduler

Scenario: When a customer requests to receive a report daily or weekly without having to login to Salesforce.

Salesforce user can schedule reports to be automatically sent as a html email on preferred time. [More info here]

Setting up schedule report

Red Box: Button will only show if report is already in the scheduled list.

Green Box: Send report to receipient.

Purple Box: Schedule date and time.

 

Scheduling Time

There is only 3 options available and this CAN NOT be changed. Salesforce advises to schedule report off peak hours of local time. [Source here]

To monitor all scheduled reports, go to Setup | Monitoring | Scheduled Jobs.

Emailed Report

When it is time, Salesforce will send the report to receipient’s email. This is how it looks like:

Note

Bare in mind that:
– Reports with types of Joined CAN NOT be scheduled.
– Report charts are not included in email (Solution is to create chart as dashboard and schedule dashboard refresh)
– Reports with table more than 22″ wide or more than 63 columns might not be able to display prperly in Outlook 2007.
– Emailed reports has a maximum size of 10MB.

Salesforce Report: Accounts Created

Report Name: Accounts Created.
Purpose: To list out all the Accounts created in current and last fiscal year.
Related Records: All account record created in current and last fiscal year.
Benefit: The organisation will have a total view on the number of account created for 2 years. This is to allow them to study on the accounts creation trend ensuring that the incoming prospects are up to the target.

Salesforce Report: Organisation Sales Results

Report Name: Organisation Sales Results.
Purpose: To list out all the closed won deals from current and previous 2 fiscal years by months.
Related Records: All closed won opportunity records of current and previous 2 fiscal years.
Benefit: Sales Management will be able to review and compare the organisation’s sales performance based on every month. This can be a part of the organisation KPI.

Salesforce Report: Product Sales Performance

Report Name: Product Sales Performance.
Purpose: To list out all products in closed won deals of the current and previous fiscal year.
Related Records: Opportunity Products of current and previous fiscal year.
Benefit: With this report, the organisation will be able to have a quick comparison between the previous fiscal year’s product sales results and current year’s product sales results. This report may assist them in evaluating the level of improvements in product acceptance.

Salesforce Report: Leads not contacted by Owner

Report Name: Leads not contacted by Owner.
Purpose: To list out all open leads by lead owners.
Related Records: All open lead records.
Benefit: Marketing team and the Sales team will be able to fully utilise this report in order to assist them in identifying all leads that are still open. These records may be essential in generating more opportunities. Also, not leaving out any unattended leads.

Salesforce Report: Revenue Generating Accounts

Report Name: Revenue Generating Accounts.
Purpose: To list out all the Accounts and their sales for current and past 2 fiscal years. To list out all the closed won deals from last fiscal year and current year by Sales Rep.
Related Records: All account and closed won opportunity records of current and past 2 fiscal years.
Benefit: The organisation will have a total view on the customers’ contribution in sales for the past 2 fiscal years and compare them to current year. Marketing division will be able to identify the “big” contributors and set more promotions and priorities as accordingly.

Salesforce Report: Sales Performance by Sales Rep

Report Name: Sales Performance by Sales Rep.
Purpose: To list out all the closed won deals from last fiscal year and current year by Sales Rep.
Related Records: All closed won opportunity records of previous and current fiscal year.
Benefit: Sales Management will be able to review and compare the Sales Reps’ performance based on their last year’s performance. This can be a part of the Sales Rep’s KPI as well.

Salesforce Report: Sales Summary by Sales Rep

 

Report Name: Sales Summary by Sales Rep.
Purpose: To list out all the Won-Lost-Open deals of current month.
Related Records: All opportunity records of the current month.
Benefit: Sales Managers and Sales Reps are able to have a quick look at all the deals in a table and see where their results are at for the current month.
